TITLE:                      Grants Specialist

 

EMPLOYMENT TERMS:     1.0 FTE/12-month position

 

SALARY CLASSIFICATION:  Classified

 

GENERAL STATEMENT of RESPONSIBILITIES:

           

The Grants Specialist will be responsible for providing a positive relationship with personnel, administrators, community and outside agencies. Responsibilities will include maintaining a high level of confidentiality and standard professionalism for the administrative offices and assuring smooth and efficient operation of the school office.

 

PRINCIPLE DUTIES:

  • Serves as the Administrative Assistant to the Associate Superintendent of Finance and Operations, and Assistant Superintendents.
  • Assist with narrative, financial and compliance related activity for federal and state grants including general accounting and administrative support tasks related to the efficient maintenance and monitoring of grant related funds.
  • Assist with other similar duties and activities outside of the grant funds as requested by the Associate Superintendent of Operations
  • Monitors grant requests and manage them through their lifecycle for multiple funding sources; grant requests are evaluated following their applicable statutes and/or code sections, and prepares recommendations based on the review.
  • Monitor ongoing and yearend deadlines and coordinate with grant-related personnel to ensure timely responses and compliance reporting
  • Maintain auditable records regarding each grant and preparing draft reports for other outside agencies.
  • General office coverage; answers phones and greets public.
  • Composes correspondence, memos, and reports as required.
  • Maintains files and orders office supplies.
  • Communicate with personnel, administrators, and outside agencies to exchange information needed to resolve issues or concerns.
  • Performs other related duties as assigned.

 

OCCUPATIONAL CONDITION:

Low risk - Work is routinely performed in indoor environments, including exposure to noise and being on your feet for extended periods of time. May require standing in inclement weather including summer heat.

            The applicant for this position is required to:

  • regularly required to sit, talk and/or hear.

  • Use hands to finger, handle, or feel objects, tools and/or controls; and reach with hands and arms on a regular basis.
  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

QUALIFICATIONS:

  • Must possess high school diploma or equivalent, supplemented by appropriate business courses.
  • Must possess one to three years secretarial experience, preferably in school setting.
  • Must possess a thorough knowledge in the use of standard office machines and computers, including proficiency in Microsoft Office and the ability to learn specialized software programs specific to job tasks.
  • Must have ability to communicate and work well with personnel, administrators and outside agencies.
  • Must possess an ability to deal effectively with matters of confidentiality.
  • Must possess excellent phone composure and etiquette.
  • Must possess strong organizational skills.

EVALUATION PROCEDURE:

The evaluation is done by the Associate Superintendent of Operations with input from the Assistant Superintendent of Curriculum & Instruction.

 

SUPERVISION RECEIVED:

The Grants Specialist position reports directly to the Associate Superintendent of Operations.
